How to Plan a Smoothie Bike Activation for a Corporate Wellness Day
A practical checklist for HR teams planning a smoothie bike station at an employee wellness day: goals, timing, space, guests and dietary needs.
A smoothie bike can turn a wellness day from a row of information tables into something staff actually join. Good planning makes the difference. Here's a practical checklist.
1. Start with the goal
Do you want to encourage movement, reward staff, bring departments together or draw people to health screenings? The goal shapes where the bikes go and how you promote them.
2. Pick the serving window
Decide whether staff will come in one block or in staggered groups. For shift workers, plan several shorter windows so every team can take part.
3. Estimate participants, not headcount
Not everyone on site will ride. Give your best estimate of participants. This drives the number of bikes, operators and ingredients.
4. Choose the right space
- A level floor or paved area.
- Room for a queue that doesn't block walkways.
- Shade or cover if you're outdoors.
- Reasonable access for loading equipment.
5. Collect dietary information early
Ask staff about allergies and dietary preferences in your event invite. Share this when you request a quote.
6. Promote it
Tell people ahead of time. A department challenge or a "pedal for your smoothie" message in the internal newsletter helps build interest.
7. Sort procurement early
Ask for an itemised quote and check what's included. Many companies need a purchase order, so allow time for approval.
